HubSpot Pipeline Restructure
A cybersecurity consulting firm was using HubSpot Starter to track deals — but not to run them. Pipelines existed, but stage ownership was unclear and nothing defined what should happen when a deal moved forward. The team was filling the gaps manually.
We restructured the pipeline from the ground up: defined stage-level ownership, built clear exit criteria for each board, and integrated their existing ticket system so nothing fell between the cracks.
No platform upgrade required. No complex automation. HubSpot Starter was enough — it just needed to be set up to drive execution instead of record it.

Inbound Operations Restructure
A client managing high inbound volume across email, live chat, social media DMs, and a ticketing system had one core problem: replies were inconsistent. The same question got different answers depending on who picked it up.
The automated channel connecting all inboxes was already in place — but nothing governed how it was used. No response logic. No ownership per channel. No escalation path. The team was reacting, not operating.
We introduced a coordinated execution layer: defined roles per channel, standardized response frameworks, built escalation triggers, and took over day-to-day management so the system runs as a function — not a collection of individuals checking their own queues.
We also built full SOPs and video documentation for every task. Step-by-step. Recorded. Stored. The client owns the system completely — whether we continue working together or not.

10-Year Operations Build
In 2012, this engagement started with two people and a product at 100,000 installs. Over 10 years, Virtary built and ran the full operational layer — so the founder could stay focused on product and growth.
We sourced, interviewed, and onboarded the development team from scratch. We set up and managed Zendesk, handling 200+ customer inquiries daily — scaling to 1,000+ during fasting season without adding permanent headcount.
We managed social media and community operations alongside support, maintaining consistency in brand voice as the user base grew across multiple platforms.
Throughout the engagement, we built full SOPs and video documentation for every task — so the operation was never dependent on any single person, and the client owned the system at every stage.
In 2022, the founder sold the business. At exit, the app had reached 150 million downloads across all channels.

Indonesia Sourcing Operations
Between 2010 and 2022, Virtary operated as a sourcing and manufacturing operations layer for international clients requiring reliable access to Indonesian manufacturers — without managing the complexity themselves.
South Korea — School Footwear
A South Korean trading agent required school shoes sourced from Indonesian factories. We handled manufacturer identification, price negotiation, and production monitoring across multiple factories. Total units placed: 2 million.
San Francisco, US — Traditional Gongs
A composer required traditional Indonesian gongs for professional musical use. We sourced craftsmen, managed production, and ensured instruments met professional specifications.
United Kingdom — Wood & Blackwood Ornaments
A UK trading agent required Indonesian wood and blackwood ornaments for export. We sourced workshops, negotiated terms, and monitored production through to delivery.

Risk Intelligence & Due Diligence Research

Phase 1 — Global Legal Data Provider (2012–2020)
Virtary contributed to a large-scale global compliance data project — compiling, researching, and maintaining a directory of politically exposed persons, adverse media, and enforcement data alongside 100 specialists.
Within that group, Virtary's lead researcher was one of five selected to work on the highest sensitivity tier: terrorism, corporate sanctions, and financial crimes data. Precision was the only acceptable standard.
Phase 2 — Risk & Advisory Firm, Research Director (2018–Present)
Clients arrive with a person, a company, or a business decision that carries risk. Using a combination of open source intelligence and human intelligence — public records, regulatory filings, corporate structures, adverse media, network mapping — we build a picture of what is actually there, not just what is presented.
The output is a structured written report with findings and risk assessment. The client uses it to decide whether to proceed, negotiate differently, or walk away.
All engagements operate under NDA. Specific cases and findings cannot be disclosed. The engagement has been ongoing since 2018 — continued work is the only reference we can offer, and it speaks for itself.
